Getting Started

How do I reset my password?

From your salon's sign-in page, choose Forgot password? and enter the email you use for that salon. We'll email you a reset link that expires after one hour. Any time your password changes, we also send a confirmation email — if you ever get one you didn't expect, use Forgot password? immediately and contact us. If the reset email doesn't arrive, check spam, then email [email protected].

Where do I log in?

At your salon's own web address: yoursalon.maravoa.com/login. Your address was shown when you signed up. If you can't remember it, email us and we'll look it up.

Why does my salon have its own web address?

Every Maravoa salon gets its own private address. Your data lives under your address; nobody at another salon can see it.

Can I bring my existing client list?

Yes—from any system or spreadsheet. If you're not sure how to get your client list out of your old system, we'll help you. Export your clients from your current system—or any spreadsheet—as a CSV and import them in one step. Names, phone numbers, emails, and notes come along. Appointment history stays in your old system for reference; your appointment book starts fresh in Maravoa.

How does the free trial work?

14 days, card required at signup, first charge on day 15. Cancel any time during the trial and you won't be charged.

Booking & Scheduling

How do clients book online?

Online booking is optional and off by default. Turn it on in Settings, then share your booking link. Clients pick a service, a stylist (or "any available"), and a time. You get a text when a booking comes in.

Can I stop double-bookings?

Yes. Online booking only offers times that are actually open for that stylist, honoring working hours and time off. And when you book for a client yourself, the stylist's real week pops out right in the booking form, so you see every gap without flipping over to the calendar.

Can clients book while my color client is processing?

Yes. Mark the window you're actually free on that appointment — say 1:45 to 2:30 while color develops — and online booking offers only slots that fit entirely inside it. You decide the window per client, because you know how long this head of color takes; the calendar enforces it so nothing can double-book.

How do I reschedule or cancel for a client?

Open the appointment and change the time or cancel it. Cancelling automatically sends the client a cancellation text, and after a reschedule you can send their updated time with one tap.

Can I fill the slot when someone cancels?

Yes — that's the waitlist. Flag any client as waiting (with a note about what they want), and the moment a cancellation or no-show opens a slot, Maravoa surfaces your matching waitlist clients right there. One tap sends them a "a spot just opened up" text with the day and time, pointing them at your salon's number to grab it. Empty chairs get refilled instead of staying empty.

Text Reminders

What texts do my clients receive?

A confirmation when an appointment is booked and a reminder before it. You choose the reminder window — 24, 48, or 72 hours — in Settings. Texts show your salon's name and come from a dedicated toll-free texting number that belongs to your salon alone — it's separate from your regular business phone line, so your existing number doesn't change. Clients can reply to confirm or cancel.

Can I keep the texting number my clients already know?

If your current texting number is dedicated to your business, usually yes—we can help port it over, which takes a few weeks. If your old system sent texts from a shared number, there isn't a number to port, so we'll set you up with your own dedicated number instead.

Can I text clients marketing or promotions?

No. Maravoa sends appointment-related texts only: confirmations, reminders, and rebooking nudges you trigger. This keeps your number in good standing with the phone carriers.

Can clients text me inspiration pictures?

Yes — clients can text inspiration pics straight to your salon's number, and they load right onto the appointment, so you know exactly what they're picturing before they walk in the door. Email [email protected] to get started.

Can clients opt out?

Yes. Replying STOP stops all texts immediately; replying START turns them back on. HELP gets an automated help reply. This is standard carrier behavior and it's honored automatically.

Texting Setup & Carrier Approval

Why does my salon need its own texting number?

Every Maravoa salon that texts gets its own dedicated toll-free number. Numbers are never shared between businesses — sharing is how replies get crossed between salons and how one business's problem can get another's texting shut off. Your number is yours.

How does the number get approved?

US phone carriers require every business texting number to be verified before messages will deliver — this applies to every texting platform, not just Maravoa. We handle the registration for you through our provider, Vonage. You give us your business details (legal name, address, contact info); we submit the verification and track it until it's approved. Once approved, your texting turns on.

How long does approval take?

Vonage states that toll-free verification typically takes 2–10 business days. In practice it's often much faster — we've seen salons approved in under 24 hours with a clean submission. The single biggest factor is whether the carriers can verify your business online, which brings us to the tip below.

Tip: no business website? Link your email to your Google Business Profile first.

Verification reviewers look for your business online — a website, a Facebook or Instagram business page, or a Google Business Profile. If you don't have a website or a business social page, make sure the email address you register with is listed on your Google Business Profile before we submit. An email the reviewers can't tie to your business is one of the most common reasons a first submission gets denied (and it's exactly what caused a one-day delay for one of our salons — fixed the same day once the email was linked).

How to link your email to your Google Business Profile

  1. Go to google.com/business and sign in with the Google account that manages your business listing. (No listing yet? Create one — it's free, and it helps clients find you anyway.)
  2. Select your business, then choose Edit profile.
  3. Under Contact information, add the email address you'll use for your Maravoa texting registration — the same one you gave us at signup.
  4. Save, and give Google a little time to publish the change before we submit your verification.

Already have a business website or an active Facebook/Instagram business page? You're covered — just make sure the business name and contact details there match what you register with.

What do you need from me for the registration?

A client says they never got a text.

First check the phone number on their client card. If it's right, email us — we can check delivery on our side. If your salon is brand new, remember texts won't deliver until your number's carrier verification is approved.

Payments

Can I take card payments through Maravoa?

Yes — card processing is offered directly through Maravoa via Stripe, under your salon's own Stripe account. Your money goes to you on Stripe's standard payout schedule; Maravoa never holds your funds. Email [email protected] and we'll get you set up.

What are the card processing fees?

Card payments run through Stripe at Stripe's standard processing rates, plus a 0.65% Maravoa platform fee—65¢ per $100 processed. Cash, check, Venmo, and other manual payments are always free to record. Card payments are rolling out per salon; email [email protected] and we'll get you set up.

Expenses & Taxes

Can I photograph a receipt to log an expense?

Yes. In Money → Expenses, tap Scan receipt and take a photo. Maravoa reads the vendor, date, amount, and what you bought, suggests a category from your own list, and fills in the expense form — you check it and hit save. Nothing is recorded until you confirm. And a privacy note we mean literally: we read the photo and immediately discard it; we never store your receipts.

Is my money data ready for tax time?

Yes — every expense and every dollar of revenue you log feeds the tax-ready export, organized for Schedule C. Booth renters especially: photographing receipts as you go means April is an export, not a shoebox.

Plans & Billing

What's the difference between the plans?

If I upgrade or downgrade, do I lose anything?

Never. Plans change what's unlocked; every appointment, client, note, formula, and photo stays.

Do my stylists pay separately?

No. Studio and Salon include Maravoa access for every working professional within the plan limit. An invited professional never sees a card wall and does not owe a second $19 subscription. Their client book, formulas, and history still belong to them and travel with them.

Who controls prices and receives payouts on a team plan?

Salon-managed work uses the salon's services, prices, Stripe account, and shared texting number. Maravoa is rolling out a professional-controlled option for true independent chair renters: their services, prices, checkout, and payouts stay with their own business while the salon sponsors their Maravoa access. Until that option is activated for a team, card checkout settles through the salon Stripe account.

Does texting cost extra?

Solo, Studio, and Salon include a dedicated business number. On Stylist, a personal dedicated number is $2/month, the carrier fee passed through at cost. A professional sponsored by a Studio or Salon uses the salon's shared number by default; a personal number is optional when professional-controlled setup is activated.

Is there a limit on how many texts I can send?

Plans include generous fair-use messaging allowances, described in our Terms of Service. Because Maravoa only sends appointment-related texts, typical salons stay well under them.

Your Data

Who owns my data?

You do. Your clients, notes, formulas, and photos are yours — see our Terms of Service and Privacy Policy.

Can another salon see my information?

No. Every salon's data is separated at your salon's own address. One customer can never see another customer's data.
