Create weekly, custom-interval, monthly, or weekday-based appointment series, preview conflicts, then book every open slot at once.
Make a processing window inside a scheduled visit available for another online booking.
Keep waiting clients in one list and text or book them when an opening appears.
Open Appointments from the main navigation (or tap "List" from the Calendar page) to see upcoming and past visits as a simple list, with filters for status and date range.
Available to owners, admins, and stylists
From the dashboard, use My openings to see today's and tomorrow's open slots. Owners and admins can choose any team member, then book that opening directly.
Tap "+ Book appointment" from the sidebar, dashboard, or Calendar page to create a new appointment: pick a client (or Walk-in), professional, services/add-ons, date/time, and (for mobile businesses) a service address.
Open any appointment to see its client, services and price, notes/color formula, photos, reminder history, and payment status, plus the actions available for its current status (edit, complete, cancel, checkout, etc.).
Salon plans · Available to owners, admins, and stylists
From a completed, unpaid appointment's detail page, use the Front desk checkout card to hand off collecting payment for that one visit to a front-desk teammate; they will not see your ledger, reports, or receipt history.
When Maravoa flags a new booking's phone number as matching an existing client, open that appointment's Verify Phone card and choose the matching client to merge the provisional record into it. This is only offered while the provisional client has no notes, photos, pets, payments, or gift cards of its own.
On the same Verify Phone card, choose "New client, keep separate" to dismiss the phone-match flag and keep the two client records distinct.
Open a scheduled appointment and tap Edit to change its date/time, assigned professional, services/add-ons, duration, notes, or (for mobile businesses) the service address. Maravoa blocks the save with a clear message if someone else edited the same appointment moments earlier, or if it is no longer "scheduled".
On a scheduled appointment, use Change client next to the client name to move the booking to the correct client record. This is silent by design: neither client receives a text, and future reminders follow the new client.
On a scheduled appointment, use 15m earlier or 15m later for a one-tap 15-minute shift. An Undo link follows, and Maravoa warns you if the new time overlaps another booking.
On a scheduled appointment, use Mark complete after the visit has happened and not before the appointment day. This takes you to visit notes and then checkout.
As long as no payment has been logged for that visit, use Undo complete on the appointment detail page to move it back to scheduled.
Open "Cancel appointment" on a scheduled visit and explicitly choose "Cancel and text the client" or "Cancel without texting" every time; if a checkout has already been completed for it, refund or undo that sale first.
On a scheduled appointment and not before its appointment day, use No-show. This cancels pending reminders and offers to text the freed slot to your waitlist.
Available to owners and admins
On a cancelled or no-show appointment with a deposit attached, owners/admins can tap "Refund deposit" to return it to the client's card.
Available to owners and admins
On a cancelled or no-show appointment with a deposit attached, owners/admins can tap "Keep deposit" to record it as forfeited income instead of refunding it.
When a cancellation or no-show frees a slot, the waitlist banner lets you text that specific opening to one client on your waitlist.
Open Visit notes from any appointment to record result notes and before-and-after photos. When color-formula tracking is enabled for your business, it also records formula, technique, and processing time and shows the client's previous formula for reference.
On a scheduled upcoming appointment whose confirmation text is not confirmed delivered, use Send booking text to send it manually. Maravoa blocks a duplicate send while an earlier attempt that day remains unconfirmed.
From the appointment detail page or its Visit Notes page, use "Add photo" to upload an image (up to 10 MB) to that visit's notes.
Available to owners, admins, and stylists
On a completed appointment with payment logged, use View receipt for a printable breakdown of services, tax, tip, and payment method.
Open Calendar from the main navigation for a day/week/month grid of appointments and blocked time, with filters for which team members to show.
From the Calendar page, use "Export .ics" to download a calendar file for a chosen date range that you can import into Apple/Google/Outlook Calendar.
Use "+ Time off" from the Calendar page to block a date/time range from booking, either for yourself, for one teammate, or (owners/admins on Studio+ tiers) for the whole business. Maravoa warns you first if the range overlaps existing bookings.
Click a blocked time on the Calendar grid, or find it in Unavailable Times, to change its date, time, label, or who it applies to.
From a blocked time's edit page or the Unavailable Times list, delete it to make that time bookable again.
Open "Unavailable times" from the Calendar page for a simple list of upcoming and past time-off blocks, scoped to what you're allowed to manage.
This is a one-time, salon-specific booking shortcut sent by text. It opens your salon's booking page and, when sent specifically about you, can fill in your name.
It re-checks that the chosen time is still free, creates the appointment (and the client record if they're new), records SMS consent if they opted in, settles any deposit already paid, and schedules the confirmation/reminder texts.
Open the client's profile and tap "Send booking link" (or use the general link/QR code in Settings). You can confirm or edit the phone number before sending.
Right after booking they land on a confirmation page showing the date, time, and total, with buttons to add the appointment to their calendar or cancel it (if it's still far enough out).
Clients can cancel from their confirmation page before the salon's confirmation lead time, which is 48 hours by default. The appointment must still be scheduled and have no paid deposit; paid deposits direct clients to contact the salon.
The confirmation page includes Add to calendar, which downloads a standard .ics file with the date, time, and address for mobile appointments.
On the client's profile, "+ Add to waitlist" lets you add an optional note about what they're waiting for.
Remove them from either the client's own profile or directly from the Waitlist page.
On a still-scheduled appointment with matching clients available, use Change client to point the appointment to the right client. No text is sent to either client.
When an inbound text creates a client record that might match an existing client with the same phone, the appointment offers a choice to merge it into that client or keep it separate.
A scheduled appointment that's in the future shows a "Move appointment" link straight into the edit form.
Every scheduled appointment shows "Mark complete" and "No-show" buttons.
Cancelling a scheduled appointment opens a choice: move it instead, cancel and text the client, or cancel silently without a text.
On a scheduled appointment you can mark a start/end stretch (e.g. while color develops) as available, so online booking can offer that window to other clients; you can also clear a window you already set.
A completed appointment that hasn't been checked out yet (no income logged) shows an "Undo complete" button to move it back to scheduled.
A client currently on the waitlist shows an "On waitlist" badge with their waitlist notes and a Remove button.
An active client not already on the waitlist can be added to it via a small inline form with optional notes.
The booking page shows a short banner when your held time expired, someone else just took that slot, a deposit still needs to be paid, or your appointment was just cancelled.
Customers choose one or more services and add-ons from the salon's public menu.
Customers choose a specific professional from the bookable list (or "Any available" when offered).
When the salon offers a shared/host service menu with multiple bookable staff, customers can choose "Any available professional" instead of a specific one.
A professional's specialty bio shows under their name on the booking page only if they've chosen to show it publicly and have actually written one.
Customers pick a day and an open time slot from the shared date/slot picker, which holds the slot for a countdown once tapped.
Customers give their name, mobile phone (with SMS-consent checkbox and links to Terms/Privacy), and optional email and notes to confirm the booking.
When a salon offers mobile service, the booking form asks where to come. For salons that offer both in-shop and mobile service, customers first choose the service location and see the address field for mobile service.
Dog-grooming salons can ask for a pet's name and breed on the booking form; both are optional.
On the Settings page, check "Accept online booking requests" in the Online booking card and save.

On My Profile, download a QR code linked to your personal booking page so clients can book directly with you.
Available to owners and admins
Settings > Online booking has a single toggle ("Accept online booking requests") that turns your public /book page on or off.
Keep waiting clients in one list and text or book them when an opening appears.
Record consent with the client's name, phone, timestamp, and the exact disclosure text they accepted.
Available with color-formula tracking
Where color formulas are enabled, keep the latest formula, technique, processing time, result, and photos on the client record.
Keep inspiration photos clients have texted directly on their profile.
The Clients tab lists everyone at your salon, searchable by name or phone, with filters for archived clients and salon-owned clients still waiting to be assigned a stylist.
Tap "Text" next to their name on the Waitlist page. It goes through the same quiet-hours protections as any other client text.
An overdue client's profile can show Send rebooking text. One tap sends a rebooking reminder, and Maravoa does not send a second reminder to that client on the same day.
Available to owners and admins
Photos received by text without a clear client match appear in Unmatched photos. Owners and admins can assign each photo to the correct client or delete it.
Available to owners and admins
On Unmatched photos, choose a client beside the photo and confirm. Maravoa links it to that client's most recent appointment when one exists.
Available to owners and admins
On the Unmatched photos page, delete removes it from both the app and Cloudinary storage.
Record the formula, technique, and processing time on the visit's Appointment Notes page. The client's profile shows the most recent record for reference and can prefill it when you book their next visit.
Use "+ New" on the Clients list. It warns you if the name or phone number already matches an existing client (family members can share one phone on purpose) before saving.
Contact info, SMS consent status, ownership/primary stylist, birthday/address/notes, waitlist status, a color-card history (if your vertical uses it), pets (dog grooming only), inspiration photos, appointment history, and product purchases.
Available to owners, admins, front desk staff, and stylists who own the client
Open the client and tap "Edit" (only visible if you're allowed to edit that record) to change name, phone, email, address, birthday, notes, or ownership.
On the client's profile, "+ Add to waitlist" lets you add an optional note about what they're waiting for.
Remove them from either the client's own profile or directly from the Waitlist page.
Available to owners, admins, and stylists who own the client
"Archive client" hides them from the active client list; it's blocked if they still have any upcoming scheduled appointments, which need to be cancelled or completed first.
Available to owners, admins, and stylists who own the client
Open the archived client's profile and tap "Restore client."
On a dog-grooming salon, each client's profile has a Pets card with "+ Add pet" to record the pet's name, breed, size, weight, coat/behavior/vaccination notes.
The pet's own page lists its appointment history and completed-visit count alongside its profile details.
Open the pet's page and tap "Edit" to change any of its details.
Deactivating a pet from its own page hides it from the client's active pet list without deleting its appointment history.
Available to owners, admins, and stylists
Settings > Data import (or Clients > Import client list) lets you upload a .csv export from another system; you'll map its columns and preview matches before anything is saved.
Available to owners, admins, and stylists
The file must be a .csv under 5 MB with 10,000 rows or fewer; anything else is rejected here with an explanation before you ever reach the column-mapping step.
Available to owners, admins, and stylists
Match each column in your file to a field (first name, phone, birthday, etc.). First name, last name, and at least one phone-type column are required before you can continue.
Available to owners, admins, and stylists
The import preview lists every row and flags missing names, missing phones, and name or phone matches with clients already in Maravoa before anything is written.
Available to owners, admins, and stylists
Only the rows you left marked "import" (and that don't turn out to be duplicates at the last moment) are created as new clients; owner/admin imports land as salon-owned and unassigned until you assign each one to a stylist.
Available with color-formula tracking
On a scheduled appointment, if this client has a prior completed color/formula note, a highlighted banner shows the formula, technique, and result notes from that last visit.
Inspiration photos sent by the client and tied to the appointment appear in an Inspiration photos section.
A Visit notes header always appears, with an Edit/Add link unless the appointment is a no-show.
When an appointment already has visit notes, they appear in a color card with formula, processing time, technique, result, and photos. A quick-add-photo control appears unless it is a no-show.
With no visit notes yet, you see a plain "No notes for this visit yet" message, plus a quick-add-photo button unless it's a no-show.
If there's any recorded history, a History section lists a line per change to this appointment.
Any staff viewing a client's page can record SMS consent for them (e.g. after a verbal in-person agreement).
Available when recent texts have failed
If recent texts to this client's number have failed to deliver, a warning tells staff to update the mobile number on file.
Available when a client has opted out of texts
If a client has texted STOP or otherwise opted out, their page shows a clear "SMS opted out" badge.
A client's page always states its SMS consent status: either the method and date it was recorded, or "No SMS consent on record".
Available to owners, admins, front desk staff, and stylists who own the client
Owners, admins, and front desk can edit any client's profile; a stylist can edit it only for a client they personally own.
Every client page shows three quick stats: their rebooking interval in weeks, total completed visits, and no-show count.
Available when a client is due for rebooking and can receive texts
For an active client who's overdue on their personal rebooking interval and hasn't opted out of texts, a banner offers a one-click "Send rebooking text".
Available to owners, admins, and stylists on Studio & Salon plans
Staff with relationship-data visibility see who this client's primary stylist is and their ownership status (e.g. stylist-owned vs shop-owned), plus an occasional suggestion to reassign ownership based on visit history.
A client's page shows their birthday, address, and staff notes, each only when that field is actually filled in.
A client currently on the waitlist shows an "On waitlist" badge with their waitlist notes and a Remove button.
An active client not already on the waitlist can be added to it via a small inline form with optional notes.
Available to dog-grooming salons
On accounts with the pets feature enabled (dog-grooming-style verticals), a client's page includes a Pets card. Full pet details live in a separate include and are out of this page's own scope.
An archived client's page shows a plain "This client is archived" notice in place of the booking/text buttons.
Older color cards are tucked behind a collapsed "View history" disclosure below the most recent card.
A client's page lists their appointments by date with services and status, or an empty message if they have none yet.
If this client has bought retail products, a Product purchases list shows each purchase with quantity, date, and total.
Available to owners, admins, and stylists who own the client
Only owners/admins, or the stylist who personally owns this client, can archive or restore the client record.

Open Money from the sidebar to see this month's income, expenses, and net profit, with tools to add tickets, log expenses, and manage refunds.
From Money (or from a completed appointment), choose + Income or Checkout to record the service amount, tip, products, and payment split. Owners and admins can log any ticket; stylists and front-desk staff can check out an appointment assigned or delegated to them.
Open the ticket from Money and choose Edit to adjust the service amount, tip, payment split, or products. Refunded tickets and refund-reversal entries can't be edited.
Available to owners, admins, and stylists
Owners, admins, and independent professionals can delete an income entry in Money when it has no card-payment or gift-card activity. Entries with that activity must be refunded instead.
From Money, use Refund on a ticket to reverse its remaining card or manual tenders. Maravoa issues the card refund through the processor and records the reversal in your ledger.
Available to owners and admins
Owners and admins can undo a manual-tender refund from Money to restore the original ticket. A refund that already moved money back to a card is final and can't be undone this way.
Available to owners, admins, and stylists
When Maravoa detects a card payment refunded or disputed outside the app, Money lists it under adjustments. Use Record adjustment to write the matching reversal into your ledger.
Available to owners, admins, and stylists

A completed, not-yet-checked-out appointment shows a "Checkout this appointment" button, for anyone allowed to view its financials.
Available to owners, admins, and assigned stylists
Owners, admins, or the assigned stylist can delegate one checkout to a front desk teammate. That teammate sees only that checkout, not the professional's ledger, reports, or receipt history.
If you can't view this appointment's financials, a checked-out appointment shows only the plain words "Checkout complete" with no amounts.
Available to owners, admins, stylists for their own appointments, and authorized front desk staff
Staff who can view an appointment's financials see its services, products, tax, tip, payment methods, gift cards, refund status, and total. They can also repeat the visit, book something different, or view the receipt.
Available to owners, admins, eligible professionals, and authorized front desk staff

Available to owners, admins, eligible professionals, and authorized front desk staff

Available when appointment reminders have been sent
If any reminders were sent for this appointment, a Reminders list shows each one's type, timing, and delivery status; a warning banner appears if texts to this number are known to be failing.
Available when booking confirmations are enabled
For an upcoming scheduled appointment with a non-walk-in client whose number is not blocked and whose confirmation SMS is on, you can send the booking confirmation. During quiet hours, you can confirm sending that one text anyway.
Available when online booking is enabled
Staff (not the client) can send this client a personalized online-booking link by text, as long as the client is active and online booking is turned on for the salon.
Any staff viewing a client's page can record SMS consent for them (e.g. after a verbal in-person agreement).
