The decision is about control points, not headcount alone

A one-chair business and a five-person studio both need booking, client records, checkout, and reports. The difference is where decisions start crossing people: shared availability, front-desk access, who owns a client record, who receives a payout, and who can see team numbers. Choose software by testing those control points before adding people.

A one-chair business needs a complete personal record

A one-chair owner should be able to run the whole day from one account: set services and hours, share a booking link, see the client history, take payment, record expenses, and review income. The most useful test is a repeat client: find the last service note, book the next visit, take a payment, and confirm the result appears in the report.

The software should also support the business as it exists today. If a professional rents a chair or expects to move, ask whether the client book, booking link, payout setup, and history are portable. The answer should be specific about the account, not only the device used to log in.

A small team adds five decisions

Shared and individual calendars

Can the owner see the whole day while each professional sees only the work they need? Test a reschedule, an opening, a shared resource, and a client choosing "any available." A good calendar answers who is available without exposing information that should stay private.

Roles and permissions

List every person who will log in: owner, professional, front desk, and bookkeeper if applicable. Decide who can change prices, issue refunds, see reports, edit client records, and export data. Review roles on the actual plan being purchased, because a feature listed somewhere in a vendor's product catalog may not be available at the team's tier.

Money flow

Map where card payments settle and who can see them. Then test tips, retail, split payments, deposits, refunds, commissions, and cash. The team should understand how software records the transaction before asking it to calculate payroll or accounting results.

Client ownership

Some teams include employees, some include booth renters, and some include both. Document how the business treats clients and what access a departing professional keeps. Software cannot settle a workplace agreement, but it should make the chosen arrangement clear and practical.

Communication

Decide which messages are appointment confirmations, reminders, waitlist notices, and marketing. Assign a person responsible for each. Track costs and consent practices before sending a campaign, especially when message use is metered.

A transition plan that avoids a second migration

Before a one-chair business adds the first team member, run three trial workflows: a new booking assigned to one person, a cancellation filled by another person, and a checkout that the owner needs to review later. If the platform can handle those cleanly, add a second professional. If it cannot, the business has found the problem before clients experience it.

Keep an export folder with the most recent client, appointment, service, inventory, and report exports. This is routine business continuity, not a sign that a platform is expected to fail.

Maravoa's published path

Maravoa has separate account paths for the actual business shape: Stylist is $19 per month for a self-signed professional, Solo is $29 per month for a one-person shop, Studio is $59 per month for up to five working professionals at one location, and Salon is $119 per month for up to ten. Studio includes a combined calendar and team reports; Salon adds front desk accounts, service commission, and an owner dashboard. Review current pricing and feature details.

That path works for a professional who starts alone and later joins or builds a team. A salon owner can sponsor access for a professional, while that professional's clients, color history, appointments, and revenue records remain attached to their account.
